Acceptable Use Policy
1. What this covers
This policy sets out what you can and cannot do with the JAR platform, including the client portal, automated messaging, and customer database. It forms part of our Terms of Service.
2. Permitted use
The JAR platform is designed for automated customer follow-up related to legitimate services you have provided. Permitted use includes:
- Sending review requests to customers who have received a service from you
- Sending rebooking reminders to existing customers
- Sending win-back messages to lapsed customers
- Sending booking confirmations when a booking is made
- Sending appointment reminders for confirmed bookings
- Storing customer contact details and appointment history for follow-up purposes
- Logging bookings and managing your customer database through the portal
3. Prohibited use
You must not use the JAR platform to:
- Send unsolicited marketing or promotional messages to people who have not used your service
- Send messages to purchased, rented, or scraped contact lists
- Send messages that are misleading, deceptive, or fraudulent
- Send messages containing offensive, discriminatory, or illegal content
- Upload or store personal data that you do not have a lawful basis to process
- Upload or store special category data (health data, political opinions, religious beliefs, sexual orientation, etc.)
- Share your portal login credentials with unauthorised third parties
- Attempt to access other clients' data or any part of the system you are not authorised to use
- Use the platform for any purpose other than customer follow-up for your own business
- Send messages at excessive volume beyond what is reasonable for your appointment volume
4. Message content
All automated messages sent through JAR are written and approved during your onboarding process. You must not request message content that:
- Makes false claims about your business or services
- Impersonates another business or individual
- Contains threats, harassment, or abusive language
- Violates any applicable law or regulation
- Includes content that could be considered spam under UK electronic marketing regulations (Privacy and Electronic Communications Regulations 2003)
5. Customer opt-out
If any of your customers requests to stop receiving automated messages, you must notify us immediately if they tell you directly. We will suppress that customer from all future automated communications.
Opt-outs that come through our systems (e.g. unsubscribe links in emails, STOP replies to SMS) are handled automatically with no action required from you.
6. Enforcement
If we believe you are using the platform in violation of this policy, we will:
- Contact you to discuss the issue and request that you stop the prohibited activity
- If the violation continues or is severe, we reserve the right to suspend your automations immediately
- In cases of serious or repeated violation, we may terminate your account
We will always attempt to resolve issues through conversation first. Immediate suspension without notice will only occur in cases where continued use poses a legal risk or could harm third parties.
7. Changes to this policy
We may update this policy from time to time. If we make significant changes, we will notify you by email at least 14 days before they take effect.
