Terms of Service
1. What these terms cover
These terms govern the relationship between JAR Automation ("we", "us", "JAR") and you ("the client", "you") when you use our services. By signing up for any JAR package, you agree to these terms.
2. What we provide
JAR provides an automated customer follow-up service for appointment-based businesses. Depending on your chosen package, this includes:
- A client portal with login access
- A customer database synced to your calendar
- Automated messaging (review requests, rebooking reminders, win-back messages, booking confirmations, appointment reminders)
- Monthly performance reporting
- Ongoing monitoring and support
The specific features included in your plan are described on our Packages page and confirmed during onboarding.
3. What you provide
To deliver our service, we need you to:
- Grant read and write access to your Google Calendar
- Provide accurate business and contact information
- Enter non-website bookings into your portal promptly
- Respond to any requests from us relating to your account setup or maintenance
- Notify us of cancellations, no-shows, or customers who should not be contacted
We cannot be held responsible for incorrect or missing follow-ups caused by incomplete or inaccurate information provided by you.
4. Setup and onboarding
Setup fees are one-off payments due before we begin building your automations. We will not begin work until payment is received, unless a founding client arrangement has been agreed in writing.
Setup typically takes up to 7 working days from the point we have everything we need from you (calendar access, business details, approval of message templates).
5. Monthly payments
Monthly fees are charged on the same date each month, starting from the date your automations go live. Payment is due in advance.
All plans have a 3-month minimum term. Your first month's subscription is free, so you can see results before recurring charges begin. After the minimum term, your plan continues month to month and you can cancel at any time with 30 days' notice.
If a payment fails, we will notify you and attempt to collect again. If payment remains outstanding for more than 14 days, we reserve the right to pause your automations until the balance is cleared.
6. What's included and what costs extra
Small changes to message wording, timing, or triggers are included in your monthly plan at no extra cost.
New automations or significant additions to your setup are quoted separately. We will always confirm the cost with you before starting any additional work.
SMS messaging is included on all plans as an automatic fallback when a customer has no email address on file. Monthly allowances are 60 messages on JAR Reviews, 100 on JAR Retain, and 200 on JAR Results. Messages beyond your allowance are charged at 9p per message, invoiced monthly.
7. Your portal and data
You will receive login credentials for your JAR client portal. You are responsible for keeping these credentials secure.
Your customer data is stored on our infrastructure and processed solely for the purpose of delivering your automations. We do not access, use, or share your data for any other purpose. Full details are in our Data Processing Agreement and Privacy Policy.
8. Cancellation
After your 3-month minimum term, you can cancel your JAR subscription at any time with 30 days' notice. No penalties, no exit fees.
On cancellation:
- Your automations will be disabled
- Your customer data will be exported and provided to you in a standard format (CSV)
- Your data will be permanently deleted from our systems within 30 days of cancellation
- Your portal access will be revoked
Setup fees are non-refundable. Monthly fees are non-refundable for the current billing period.
9. Uptime and reliability
We regularly review your automations behind the scenes to make sure everything's running as it should, and we monitor your automations to catch issues before they affect your customers. However, we do not guarantee 100% uptime. Occasional delays or interruptions may occur due to third-party service outages (e.g. Google Calendar API, email delivery providers).
We will notify you if any significant disruption affects your service and work to resolve it as quickly as possible.
10. Liability
JAR provides an automation service. We do not guarantee specific business outcomes such as a certain number of reviews, bookings, or revenue increase. Our service ensures that your customers are contacted according to the automations configured for your account.
To the maximum extent permitted by law, our total liability to you for any claim arising from or related to our service is limited to the total amount you have paid us in the 3 months preceding the claim.
We are not liable for:
- Loss of revenue, profit, or anticipated savings
- Damage to your reputation
- Actions taken by your customers in response to automated messages
- Issues caused by inaccurate data provided by you
- Third-party service outages beyond our control
11. Acceptable use
Your use of JAR is subject to our Acceptable Use Policy, which is incorporated into these terms by reference.
12. Electronic communications
Messages sent by JAR on your behalf to your customers are sent under the soft opt-in exemption of the Privacy and Electronic Communications Regulations 2003 (PECR). This means your customers can be contacted because they have an existing relationship with your business, the messages relate to similar services, and every message includes a clear way to opt out. You are responsible for ensuring that you only add customers to the JAR platform who have received a service from you. Adding contacts who have not had a transaction with your business may violate PECR, and JAR accepts no liability for such use.
13. Changes to these terms
We may update these terms from time to time. If we make significant changes, we will notify you by email at least 14 days before the changes take effect. Continued use of the service after changes take effect constitutes acceptance of the updated terms.
14. Governing law
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
